SUMMARY OF JOB DESCRIPTION: Maintain the smooth operation of the Exceptional Student Services office.
Support internal and public communications, maintain strict confidentiality.
Office support as directed by ESS Exec.
Director, SPED Director, Health Services Director and GT Coordinator.
Indirect office support for ESS Staff (SPED, HEALTH, GT)
SUPERVISED BY: Executive Director of Exceptional Student Services
ESSENTIAL JOB ELEMENTS:
Screen and direct pertinent internal and external information and report information to appropriate administrators
Create and file personnel records for ESS staff.
Assist in the preparation and processing of Change of Status Forms and processing payroll related items
Assist with hiring procedures, setting up interviews, reference checks
Weekly payroll – reconcile and approve timesheets for hourly employees
Act as SAM/AESOP administrator for ESS staff (salaried and hourly) on a weekly basis
Coordinate department’s purchasing – vendor contact, purchase order inquiries, create purchase orders and process for payment
Process VISA statements and assign budget code
Process reimbursement forms – mileage, meals and miscellaneous purchases
Budget development, journal entries, account balances
Receive and review transportation paperwork for SPED students who qualify
Coordinate and process paperwork to hire, transfer or terminate ESS Staff and assist with position postings
Create HR forms for Extra Duty pay
Create Independent Contractor packets and update each year
Attend Office Managers’ meetings and pass on info
Create clusters/trainings in Performance Matters
Direct pertinent internal and external information and report information to appropriate administrator or staff member
Track Private School Funding – order materials, process invoices for materials and tutors
Maintain ESS phone directory
Oversee inventory of test kits - ESS Resources
Update License Information for ESS Staff, Service Providers, SPED & GT Teachers, Contractors
Perform other duties as assigned

QUALIFICATIONS:
High School Diploma or equivalent
Minimum 2 years general clerical and/or secretarial experience
Minimum 1 year of accouting/bookkeeping experience
Working knowledge of computer: keyboarding, database, spreadsheet and word processing
Effective communication and interpersonal skills utilizing positive conflict management strategies
Effective organizational and time management skills
Knowledge/experience related to basic principles of accounting
Problem solving capabilities and ability to work with minimal supervision and direction
SPECIFIC SKILLS:
Working knowledge of computer: keyboarding, database, spreadsheet and word processing
Ability to maintain confidentiality in all aspects of the job
Ability to manage multiple tasks with frequent interruptions
Ability to keep up-to-date technically and apply new knowledge to your job
Includes adapting and mastering new system applications and processe
Ability to coordinate and collaborate with district departments, school administrators and district administration
Ability to manage multiple priorities and tasks
Knowledge of Colorado Department of Education program
Ability to work cooperatively with a variety of people
