* *Task Required:* *Administrative Tasks* Process and update new listings, price changes, transactions, and closings in SkySlope, QuickBooks and bank (will train in required software) * Update and accept documents as available * Review closing documents for accuracy * Review contracts/compliance with Managing Broker as needed * Process closings in QuickBooks and bank (will train in required software) * Work with brokers and title companies on documentation for all closings * Work within QuickBooks to create checks, journal entries, deposits, and commission payments * Work within bank to create ACH’s, transfers and deposits * Deposit checks to bank RELO Exchange (will train in required software) * Verify referrals when reviewing closings * Close out the referral transactions * Complete disposition and generate payment Create and distribute print and electronic marketing material (will train in required software) * New listing flyers * New listing and just sold postcards * Create and send email marketing (new listings/price changes) Run office reports in multiple programs, compile, and send to our accountant/brokers * End of month reports (printer/copy logs/pass through) * Biweekly expired hot sheet * Biweekly expiring soon reports Quality assurance for the articles and materials produced in house (will train in required software) * General proofing of marketing material and articles * Source Magazine - Prepare listings that get placed into the Source, follow up with brokers to get their listings, and proof each draft of the Source that gets created * Manage the Dining Guide for our Source Magazine in both Excel and InDesign * Create and order business cards as requested (will train in required software) Help with programming the playlists on our sand table (client entertainment) (will train) Help to coordinate and be onsite support for company events * Fourth of July Party * Summer Porch Series Concerts (4) * Company Parties (holiday, new broker) * Admins Retreat Be proactive in establishing a welcoming yet professional atmosphere within the office environment (water planters in the summer/holiday decorations and organizing/upkeep of main level of the building) Manage daily duties while prioritizing all additional requested tasks and special projects *In collaboration with other team members* * Provide executive level administrative support and personal assistance to our real estate brokers and staff * Process incoming real estate leads and distribute accordingly * Process incoming/outgoing calls, e-mail, USPS mail and delivered packages * Schedule showings for brokers using Showing Time software (will train in required software) * Order and restock office supplies; maintain the office supply storage areas and reorganize as needed * Responsible for office opening/closing checklist procedures * Assist in maintaining a specific schedule for the use of our Summit Foundation medallions, and responsible for checking them in/out *Skills Required:* * Be proficient in Microsoft 365 * High level attention to detail and organizational skills required * Be punctual and reliable in attendance during scheduled business hours * Greeting guests/clients in a friendly and professional manner in person and on the phone * Complete special projects as requested in a timely manner * Flexibility in covering shifts for the front desk when needed due to vacation or personal leave of other staff members * The ability to communicate in a clear and accurate way, both verbally and in writing * Maintain a positive attitude while facilitating a professional environment * Ability to work in a multi-tasking high energy environment * Teamwork mentality *Not Required but bonus skills:* * Basic understanding of real estate contracts * Agile Project Management experience (Trello, Jira, or other) * QuickBooks experience * Adobe In-Design experience *Benefits:* * Medical/Dental/Vision/Accident Insurance options * 401K matching opportunities * Parking Pass * Ski Pass * Paid Personal Time Off * Daily Dog visits This is not a real estate agent position nor is it a path to becoming an agent within the office.
Job Type: Full-time Pay: $50,433.
